This policy explains how we collect, use and store personal information as well as your options for accessing and correcting that information. Living Witness Project is the controller of the data and we are responsible for your personal data. You can contact us via firstname.lastname@example.org if you wish to know what information we hold about you or to have it corrected or deleted.
Our lawful grounds for holding personal data are
'consent': we only hold data that you have explicitly asked us, or given us permission, to hold
‘legitimate interest’: principally to enable us to provide you with a service that you have requested or to maintain records of subscriptions and donations as required for accounting purposes and to make Gift Aid claims.
We record Living Witness members’ details including names, postal and e-mail addresses, phone numbers and, where relevant, the Quaker meetings that members attend. This list is kept on a password-protected computer with up-to-date malware protection. We use the list to distribute newsletters and to send subscription reminders. We may also record information about donations and subscriptions to enable us to maintain our financial records and send subscription reminders.
We hold a separate e-mail list on our web host server to send out occasional e-mails with news about Living Witness, wider developments in Quaker engagement with sustainability, and upcoming events. The list includes name and e-mail addresses only, and is not linked to our members list. It is password protected. If an attempt is made to add your e-mail to this list, a notification will be sent to your address and you will need to confirm the subscription. Each e-mail you receive from the list includes a link enabling you to change your subscription preferences, or to unsubscribe from the list. You can also ask to be unsubscribed by sending an e-mail to email@example.com.
Our participants lists for specific events include names and contact details, and may also include dietary information and health information where participants have provided us with this to help us to meet their needs. They may also include information on any participants fees received. If you participate in an event we will not share your contact details with other participants without your explicit consent.
We will never share your personal information with a third party without your explicit consent. If anyone asks us to put them in contact with you – for instance because they met you at one of our events – we will normally write to you with their contact details so that you can get in touch with them if you wish.
At all times, we will respect your contact preferences. You can change your preferences at any time or object to us processing your data by contacting us by email at firstname.lastname@example.org.
